About this role
We’re looking for an organized, resourceful, and trustworthy Personal Assistant to work with several key leaders across the company. By providing top-notch support on personal matters, you will give our leaders more time to focus on their work priorities. An effective problem solver with a can-do attitude and positive disposition, you’ll discreetly and efficiently handle a wide variety of tasks, so each day will look a little bit different!
NB: Due to the unpredictable nature of this role, and because it will not involve office-specific tasks, you are free to work remotely. While we envision this as a part-time role, we will require flexible availability outside standard working hours, particularly when executives are traveling.
Role Responsibilities
- Managing personal scheduling for the executive team across our main office locations, including
- Agendas
- Travel arrangements
- Other personal logistics (coordinating visas, depositing checks, booking other appointments, etc.)
- Provide support for other requests such as managing personal or family issues as required.
- Provide ad hoc personal administrative support to other senior leaders as capacity allows
Role Requirements: What you’ll need to succeed
- At least 5 years’ experience in a similar personal assistant role for c-suite executives/senior management
- Excellent verbal and written communication
- Perceptive, discreet, and attentive to details: you have a knack for anticipating needs even before they’re articulated
- Highly organized, with outstanding time management and planning skills
- Great people skills: you can build bridges across cultures and functions
- Proactive attitude and initiative; no task is too big or too small
- Able to exercise good judgment in prioritizing various issues
- Can work accurately and efficiently within tight timeframes
- Flexible and adaptable to the different personalities and styles of each manager (along with their varied requirements and preferences)
Nice skills to have, but not required
- Proficiency in the full Google Suite (Gmail, Calendar, Docs, Slides, Sheets)
- Fluent in Cantonese, in addition to English
